Airport Grants & Project Administrator

Outstanding opportunity to join our growing Aviation team in New England, as an Airport Grants and Project Administrator. Primary tasks of this role will focus on successfully coordinating and processing documentation required of airport grant funding and assisting Project and Facility Managers with administrative requirements of multiple airport projects.


- Administer FAA Grants: Calculate, prepare and transmit federal and state grant reimbursement requests for signature to Sponsors once invoice for Engineering Services, Contractor progress payments, or Administrative Costs come in for payment. Once approved by the Sponsor; submit the reimbursement request on the FAA Delphi System (or appropriate State system) online - Log and track reimbursements and coordinate with sponsor airports - Prepare FAA and State DOT Annual Reports for Sponsors and Final Outlay Reports - Assist in preparing contracts and subcontract agreements, review subconsultant proposals, prepare attachments, exhibits and cover letters - Coordinate bidding of new projects, posting of project documents online, and transmitting information to prospective bidders. Manage the placement of legal ads in newspapers and on state bid websites - Create Project Templates: set up new forms, spreadsheets, logs and worksheet for each new project - Provide general grant and project coordination assistance including tracking contractor subcontractor requests, assisting with the shop drawing process, and assisting with project closeouts - Organize electronic project files, keep records up to date - Perform other general office & administrative duties as required.


- Minimum of an AAS degree with 3 years administrative experience in A/E/C industry - Advanced skills in Excel, Word, PowerPoint & Outlook required, experience with database management preferred - Previous Accounting experience a plus, preferably with accounts payable processes - Excellent written and verbal communication skills, highly organized with ability to multi task, work independently and effectively manage time - Strong attention to detail, ensuring compliance with all project funding requirements - Understand grant administration and/or construction processes from new job start up to project close out packages preferred.
